AI workers for residential property management: hand back the follow-up work, not the decisions

Non-emergency work orders arrive as a spreadsheet export, a vendor email thread and a few half-remembered phone calls. Someone on your team reads all of it, works out which commitments slipped, and decides who calls the vendor next. That reading — the part that eats Monday mornings — is the work worth handing over.

In a hands-on Zati workshop, we build that worker organization with you: named roles, assigned responsibilities, inspectable output, and every commitment to a resident or vendor still sitting with your people. You leave able to run and improve it yourself.

Start with the free audit — keep it either way

Your first conversation with David is free. You receive an audit of your website's SEO, AEO and GEO, a preview of how a redesign of your service and contact pages could look, and a demo of a worker organization shaped around a recurring property-management responsibility.

Bring your website and one recurring coordination task. We will discuss where inquiries get stuck, how work orders reach your team, and which jobs would benefit from an AI worker. You keep the audit report and redesign preview whether or not you book a workshop. No strings attached.

What we build with you

A website residents, owners and vendors can find and understand

We work from the audit on the agreed pages: technical SEO, service pages, mobile experience and the contact path for a prospect who wants to see your services and request a quote. AEO and GEO work makes your business information clearer for answer engines to access and interpret. We redesign the agreed pages with you and show you how to update them, so the next improvement does not have to become another development project.

A voice agent for the calls that arrive after hours

We set up an xAI voice agent around your business information, common questions and the details you need from callers — property address, unit, the nature of the request. We walk the call flow together and test what happens when the agent needs a person.

Any booking, quotation, transfer or connected-tool action is agreed with you before it is included. You decide what can be handled automatically and what needs your confirmation. A vendor price or a move-in date is never confirmed by the agent on its own.

An AI-worker organization with clear responsibilities

We design roles, instructions, context and handoffs using Zati, Muse or GrokBot where the selected platform suits the work. A starting set for a property-operations team:

  • Export reader. Assigned the non-emergency work-order export and the related vendor email thread, and assembles each open commitment with the source it came from.
  • Follow-up drafter. Sorts items into overdue, at risk and no commitment recorded, drafts the vendor follow-up wording, and flags missing information such as an absent access date or an unconfirmed price.
  • SEO/AEO/GEO maintenance worker. Reviews your service and portfolio pages against the agreed criteria, identifies gaps and prepares suggested updates for your review.

You also create workers that maintain the site work: check pages, spot missing or inconsistent service details, and prepare changes rather than publish them. Each worker has a name, instructions and a reporting manager, so you can open an assignment and see the inputs, the work and the result together.

The skills to keep it working

You do the work alongside David. You practise changing information, reviewing a worker's output, catching a mistake and making the next improvement yourself. We finish with you operating the agreed setup and explaining how to maintain it. You keep your accounts, the operating guidance and a practical routine for checking and improving the work.

A prospective workflow we can scope together

One recurring responsibility, defined end to end: non-emergency work-order export plus vendor emails → an overdue-commitment brief. The result your team can use on Monday morning — each item showing the commitment made, the date it was made, and who owes the next step — instead of a general-purpose assistant. A reviewing step confirms dates and vendor names against the source and marks anything needing confirmation before it goes out. Bring your own example and we will work out the inputs, permissions and output shape together.

Choose the workshop depth that fits

Practice asking workers for tasks, reviewing their work and improving instructions through conversation.

Scope is agreed on the call; each package has a written scope and quote.

  • 2 hours — one agreed improvement or one worker, with hands-on practice and clear next steps.
  • 4 hours — one focused workflow and its maintenance routine, with time to test and repeat the changes yourself.
  • 8 hours — a broader setup across agreed website, voice or worker tasks, with more practice on how the pieces fit.
  • 16 hours — several agreed parts of the business connected, with confidence operating, checking and improving the setup.
  • 32 hours — a deeper multi-workflow programme with implementation time, repeated practice and a more extensive operating playbook.

Hosting and running costs

If you want free website hosting, we help set it up and show you how to manage it; you can also keep a suitable existing host. Domain renewals, phone and AI usage, and any paid software remain separate costs — we identify them before the workshop.

Questions before you begin

Will this work with the property system we already run?

Bring your current PMS and tools to the call. We assess the connections, access and outputs your setup requires before proposing a configuration. We do not assume any system is already connected.

Where do the decisions stay?

With your people. A worker can prepare a follow-up note and a proposed next step. The commitment to a resident or a vendor, and anything touching lease terms, deposits or legal obligations, stays with your staff. Review proposed effects before anything leaves the building.

Can you guarantee rankings or AI citations?

No. We improve the agreed pages and set up a maintenance process; search and answer engines determine their own results.
